This policy explains what personal data Voxen Visuals ("Voxen", "we", "us") collects when you visit voxenvisuals.com, contact us, work with us or use our client platform, why we collect it, who we share it with and what rights you have over it. We only collect what we need to provide our services, and we never sell personal data.
01Data we collect

02How we use it
- To answer your enquiries and prepare proposals.
- To produce, deliver, revise and publish the content you contract, and to keep you informed of its status (in the platform, by email or by WhatsApp, according to your preference).
- To manage your account, orders, payments and invoices.
- To run our internal processes: assigning editors, quality control, planning and reporting.
- To keep the platform secure, prevent abuse and fix errors.
- To evaluate applications from editors and collaborators.
- To comply with legal, tax and accounting obligations.
- To show you as a client on our website (name, brand or public social handle) and to quote feedback you give us, unless you ask us not to, as described in our Terms and Conditions.
We do not use your data for third-party advertising, and we do not send marketing messages unless you ask for them.
03Why we are allowed to
We process your data because it is necessary to provide the service you requested or to take steps before contracting; because you gave us your consent (for example when you connect a social account or accept notifications, which you can withdraw at any time); because we have a legitimate interest in running and securing our business; or because the law requires us to keep certain records.
04Who we share it with
We share data only with the service providers we need to operate, and only for the purposes described above. Each of them processes the data under its own security and privacy commitments:

Our team members (editors, motion designers, strategists) access only the information they need for the projects assigned to them. Editors do not see clients' contact details, contract amounts or payment data unless the client is a recurring account that requires it.
We may also disclose data when the law requires it or to protect our rights, and in the event of a business transfer, always under equivalent confidentiality.
05Connected social accounts
If you contract publishing services, you authorise us to connect your Instagram, TikTok, YouTube, Facebook or LinkedIn accounts through Metricool. The connection is made through Metricool's official integration: we never ask for or store the password of your social accounts, and the authorisation tokens are held by Metricool under its own security. We use that connection only to schedule and publish the content we agreed and to read its performance metrics for reporting. We do not post anything you have not approved, and we do not read your private messages. You can revoke the authorisation at any time from the social network's settings, from Metricool, or by asking us.
06Cookies and local storage
The public website uses no advertising or analytics cookies. It stores your language preference in your browser's local storage so the site opens in your language next time. The client platform uses the cookies strictly necessary to keep you signed in and to protect your session. Videos embedded from Instagram and YouTube on our website are loaded from those platforms, which may set their own cookies under their own policies.
07How long we keep it
- Project files (raw material, working files, deliveries): 14 days after each delivery or revision, as described in our Terms and Conditions. Download your final videos when you approve them.
- Account and project records (orders, proposals, comments, invoices): while your account is active and afterwards for as long as required for accounting, tax and legal purposes.
- Enquiries that do not become a project: for as long as they may be relevant to a future collaboration. You can ask us to delete them at any time.
- Job applications: up to 12 months, unless you ask us to delete them earlier.
- Backups: encrypted daily backups are kept for 35 days; monthly backups for up to 400 days. Deleted data may persist in backups until they expire.
- Technical logs: for a short period, as needed for security and troubleshooting.
08Security
Data travels encrypted (HTTPS) and is stored with access controls that separate what each role can see (clients see only their own projects; editors do not see clients' contact or financial data). We offer two-step verification for accounts, keep encrypted backups, review our security regularly and limit access to our team on a need-to-know basis. Payment proofs are stored in a private bucket and served only through short-lived links. No system is completely secure, so if we ever become aware of a breach affecting your data we will inform you without undue delay.
09Your rights
You can ask us at any time to:
- Access the personal data we hold about you and receive a copy.
- Correct data that is inaccurate or incomplete.
- Delete your data, when we no longer need it for the service or for a legal obligation.
- Restrict or object to certain processing.
- Withdraw a consent you previously gave (for example, disconnect a social account or stop notifications).
- Receive your data in a portable format.
Write to agency@voxenvisuals.com and we will answer within 30 days.
10International transfers
Our providers store and process data in different countries, mainly South America (database) and the United States (hosting, video, email and AI services). Where a transfer takes place, we rely on the safeguards offered by each provider (contractual clauses and security certifications) so that your data stays protected wherever it is processed.
11Minors
Our services and platform are intended for people aged 18 or over, or for minors acting through a parent or legal guardian. We do not knowingly collect data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
12Changes to this policy
We may update this policy as our services or providers change. The current version is always available on this page, with the date of the last update at the top. If a change materially affects how we use your data, we will notify active clients through the platform or by email.

02Para qué los usamos
- Para responder tus consultas y preparar propuestas.
- Para producir, entregar, revisar y publicar el contenido que contratas, y mantenerte al tanto de su estado (en la plataforma, por email o por WhatsApp, según tu preferencia).
- Para gestionar tu cuenta, pedidos, pagos y facturas.
- Para nuestros procesos internos: asignación de editores, control de calidad, planificación y reportes.
- Para mantener la plataforma segura, prevenir abusos y corregir errores.
- Para evaluar postulaciones de editores y colaboradores.
- Para cumplir obligaciones legales, fiscales y contables.
- Para mostrarte como cliente en nuestro sitio web (nombre, marca o usuario público en redes) y citar los comentarios que nos des, salvo que nos pidas lo contrario, como se describe en nuestros Términos y condiciones.
No usamos tus datos para publicidad de terceros y no enviamos mensajes de marketing salvo que los pidas.
03Base para tratarlos
Tratamos tus datos porque es necesario para prestarte el servicio que solicitaste o para dar pasos previos a la contratación; porque nos diste tu consentimiento (por ejemplo al conectar una red social o aceptar notificaciones, que puedes retirar en cualquier momento); porque tenemos un interés legítimo en operar y proteger nuestro negocio; o porque la ley nos exige conservar ciertos registros.
04Con quién los compartimos
Compartimos datos solo con los proveedores de servicios que necesitamos para operar, y solo para los fines descritos arriba. Cada uno trata los datos bajo sus propios compromisos de seguridad y privacidad:

Los miembros de nuestro equipo (editores, motion designers, estrategas) acceden solo a la información que necesitan para los proyectos asignados. Los editores no ven los datos de contacto de los clientes, los montos de los contratos ni los datos de pago, salvo que el cliente sea una cuenta recurrente que lo requiera.
También podemos revelar datos cuando la ley lo exija o para proteger nuestros derechos, y en caso de una transferencia del negocio, siempre bajo una confidencialidad equivalente.
05Redes sociales conectadas
Si contratas servicios de publicación, nos autorizas a conectar tus cuentas de Instagram, TikTok, YouTube, Facebook o LinkedIn a través de Metricool. La conexión se hace mediante la integración oficial de Metricool: nunca pedimos ni guardamos la contraseña de tus redes sociales, y los tokens de autorización los custodia Metricool bajo su propia seguridad. Usamos esa conexión solo para programar y publicar el contenido acordado y leer sus métricas de rendimiento para los reportes. No publicamos nada que no hayas aprobado ni leemos tus mensajes privados. Puedes revocar la autorización en cualquier momento desde la configuración de la red social, desde Metricool o pidiéndonoslo.
06Cookies y almacenamiento local
El sitio web público no usa cookies publicitarias ni de analítica. Guarda tu preferencia de idioma en el almacenamiento local de tu navegador para que el sitio se abra en tu idioma la próxima vez. La plataforma de clientes usa las cookies estrictamente necesarias para mantener tu sesión iniciada y protegerla. Los videos de Instagram y YouTube incrustados en nuestro sitio se cargan desde esas plataformas, que pueden instalar sus propias cookies bajo sus propias políticas.
07Cuánto tiempo los conservamos
- Archivos de proyecto (material en bruto, archivos de trabajo, entregas): 14 días después de cada entrega o revisión, como se describe en nuestros Términos y condiciones. Descarga tus videos finales cuando los apruebes.
- Registros de cuenta y proyecto (pedidos, propuestas, comentarios, facturas): mientras tu cuenta esté activa y después durante el tiempo exigido por obligaciones contables, fiscales y legales.
- Consultas que no se convierten en proyecto: mientras puedan ser relevantes para una futura colaboración. Puedes pedirnos que las eliminemos en cualquier momento.
- Postulaciones: hasta 12 meses, salvo que pidas eliminarlas antes.
- Copias de seguridad: las copias diarias cifradas se conservan 35 días; las mensuales hasta 400 días. Los datos eliminados pueden persistir en las copias hasta que venzan.
- Registros técnicos: por un período breve, el necesario para seguridad y resolución de problemas.
08Seguridad
Los datos viajan cifrados (HTTPS) y se almacenan con controles de acceso que separan lo que cada rol puede ver (los clientes ven solo sus propios proyectos; los editores no ven datos de contacto ni financieros de los clientes). Ofrecemos verificación en dos pasos para las cuentas, mantenemos copias de seguridad cifradas, revisamos nuestra seguridad periódicamente y limitamos el acceso de nuestro equipo a lo estrictamente necesario. Los comprobantes de pago se guardan en un bucket privado y se sirven solo mediante enlaces de corta duración. Ningún sistema es completamente seguro, así que si alguna vez detectamos una brecha que afecte tus datos te informaremos sin demoras indebidas.
09Tus derechos
Puedes pedirnos en cualquier momento:
- Acceder a los datos personales que tenemos sobre ti y recibir una copia.
- Corregir datos inexactos o incompletos.
- Eliminar tus datos, cuando ya no los necesitemos para el servicio o por una obligación legal.
- Limitar u oponerte a ciertos tratamientos.
- Retirar un consentimiento que hayas dado (por ejemplo, desconectar una red social o dejar de recibir notificaciones).
- Recibir tus datos en un formato portable.

10Transferencias internacionales
Nuestros proveedores almacenan y procesan datos en distintos países, principalmente Sudamérica (base de datos) y Estados Unidos (alojamiento, video, email y servicios de IA). Cuando hay una transferencia, nos apoyamos en las garantías que ofrece cada proveedor (cláusulas contractuales y certificaciones de seguridad) para que tus datos sigan protegidos donde sea que se procesen.
11Menores de edad
Nuestros servicios y plataforma están destinados a personas mayores de 18 años, o a menores que actúen a través de su padre, madre o tutor legal. No recopilamos datos de niños a sabiendas. Si crees que un menor nos proporcionó datos personales, contáctanos y los eliminaremos.
12Cambios en esta política
Podemos actualizar esta política a medida que cambien nuestros servicios o proveedores. La versión vigente está siempre disponible en esta página, con la fecha de la última actualización arriba. - Für unsere internen Abläufe: Zuweisung von Editoren, Qualitätskontrolle, Planung und Reporting.
- Um die Plattform sicher zu halten, Missbrauch zu verhindern und Fehler zu beheben.
- Um Bewerbungen von Editoren und Partnern zu prüfen.
- Um rechtliche, steuerliche und buchhalterische Pflichten zu erfüllen.
- Um dich als Kunden auf unserer Website zu nennen (Name, Marke oder öffentlicher Social-Media-Handle) und dein Feedback zu zitieren, sofern du uns nicht darum bittest, das nicht zu tun, wie in unseren AGB beschrieben.
Wir nutzen deine Daten nicht für Werbung Dritter und senden keine Marketingnachrichten, es sei denn, du wünschst sie.
03Rechtsgrundlage
Wir verarbeiten deine Daten, weil es zur Erbringung der von dir angeforderten Leistung oder für vorvertragliche Schritte erforderlich ist; weil du eingewilligt hast (zum Beispiel beim Verbinden eines Social-Media-Kontos oder beim Akzeptieren von Benachrichtigungen, was du jederzeit widerrufen kannst); weil wir ein berechtigtes Interesse am Betrieb und Schutz unseres Unternehmens haben; oder weil das Gesetz uns verpflichtet, bestimmte Aufzeichnungen aufzubewahren.
04Mit wem wir sie teilen
Wir teilen Daten nur mit den Dienstleistern, die wir für den Betrieb brauchen, und nur für die oben beschriebenen Zwecke. Jeder von ihnen verarbeitet die Daten unter seinen eigenen Sicherheits- und Datenschutzverpflichtungen:

Unsere Teammitglieder (Editoren, Motion Designer, Strategen) greifen nur auf die Informationen zu, die sie für die ihnen zugewiesenen Projekte brauchen. Editoren sehen weder Kontaktdaten der Kunden noch Vertragsbeträge oder Zahlungsdaten, es sei denn, der Kunde ist ein Stammkunde, bei dem das nötig ist.
Wir können Daten auch offenlegen, wenn das Gesetz es verlangt oder um unsere Rechte zu schützen, sowie im Fall einer Unternehmensübertragung, stets unter gleichwertiger Vertraulichkeit.
05Verbundene Social-Media-Konten
Wenn du Veröffentlichungsleistungen beauftragst, ermächtigst du uns, deine Instagram-, TikTok-, YouTube-, Facebook- oder LinkedIn-Konten über Metricool zu verbinden. Die Verbindung erfolgt über die offizielle Integration von Metricool: Wir fragen nie nach dem Passwort deiner Social-Media-Konten und speichern es auch nicht; die Autorisierungs-Tokens werden von Metricool unter dessen eigener Sicherheit verwahrt. Wir nutzen diese Verbindung nur, um die vereinbarten Inhalte zu planen und zu veröffentlichen und ihre Performance-Kennzahlen für das Reporting auszulesen. Wir veröffentlichen nichts, was du nicht freigegeben hast, und lesen keine privaten Nachrichten. Du kannst die Ermächtigung jederzeit in den Einstellungen des sozialen Netzwerks, bei Metricool oder auf Anfrage bei uns widerrufen.
06Cookies und lokaler Speicher
Die öffentliche Website verwendet keine Werbe- oder Analyse-Cookies. Sie speichert deine Sprachpräferenz im lokalen Speicher deines Browsers, damit die Seite beim nächsten Mal in deiner Sprache öffnet. Die Kundenplattform verwendet die unbedingt erforderlichen Cookies, um dich angemeldet zu halten und deine Sitzung zu schützen. Auf unserer Website eingebettete Videos von Instagram und YouTube werden von diesen Plattformen geladen, die eigene Cookies nach ihren eigenen Richtlinien setzen können.
07Wie lange wir sie aufbewahren
- Projektdateien (Rohmaterial, Arbeitsdateien, Lieferungen): 14 Tage nach jeder Lieferung oder Korrektur, wie in unseren AGB beschrieben. Lade deine finalen Videos herunter, sobald du sie freigibst.
- Konto- und Projektunterlagen (Bestellungen, Angebote, Kommentare, Rechnungen): solange dein Konto aktiv ist und danach so lange, wie es für Buchhaltung, Steuern und gesetzliche Zwecke erforderlich ist.
- Anfragen, aus denen kein Projekt wird: solange sie für eine künftige Zusammenarbeit relevant sein können. Du kannst uns jederzeit bitten, sie zu löschen.
- Bewerbungen: bis zu 12 Monate, sofern du nicht früher um Löschung bittest.
- Backups: verschlüsselte tägliche Backups werden 35 Tage aufbewahrt, monatliche Backups bis zu 400 Tage. Gelöschte Daten können in Backups bestehen bleiben, bis diese ablaufen.

08Sicherheit
Daten werden verschlüsselt übertragen (HTTPS) und mit Zugriffskontrollen gespeichert, die trennen, was jede Rolle sehen darf (Kunden sehen nur ihre eigenen Projekte; Editoren sehen keine Kontakt- oder Finanzdaten der Kunden). Wir bieten Zwei-Faktor-Authentifizierung für Konten an, führen verschlüsselte Backups, überprüfen unsere Sicherheit regelmäßig und beschränken den Zugriff unseres Teams auf das Notwendige. Zahlungsbelege werden in einem privaten Bucket gespeichert und nur über kurzlebige Links bereitgestellt. Kein System ist vollkommen sicher; sollten wir je von einer Verletzung erfahren, die deine Daten betrifft, informieren wir dich ohne unangemessene Verzögerung.
09Deine Rechte
Du kannst uns jederzeit bitten:
- Auskunft über die personenbezogenen Daten zu erhalten, die wir über dich gespeichert haben, und eine Kopie zu bekommen.
- Unrichtige oder unvollständige Daten zu berichtigen.
- Deine Daten zu löschen, wenn wir sie nicht mehr für die Leistung oder eine gesetzliche Pflicht benötigen.
- Bestimmte Verarbeitungen einzuschränken oder ihnen zu widersprechen.

10Internationale Übermittlungen
Unsere Anbieter speichern und verarbeiten Daten in verschiedenen Ländern, vor allem in Südamerika (Datenbank) und in den USA (Hosting, Video, E-Mail und KI-Dienste). Wo eine Übermittlung stattfindet, stützen wir uns auf die Garantien des jeweiligen Anbieters (Vertragsklauseln und Sicherheitszertifizierungen), damit deine Daten überall geschützt bleiben, wo sie verarbeitet werden.
11Minderjährige
Unsere Leistungen und unsere Plattform richten sich an Personen ab 18 Jahren oder an Minderjährige, die über einen Elternteil oder gesetzlichen Vormund handeln. Wir erheben wissentlich keine Daten von Kindern. Wenn du glaubst, dass ein Kind uns personenbezogene Daten übermittelt hat, kontaktiere uns und wir löschen sie.
